How to Compare Commercial Door Quotes Without Missing Scope
Compare commercial door quotes against one opening schedule and one set of inclusions. Product differences, excluded hardware, delivery assumptions and unfinished surrounding work can make similar totals describe very different projects.
A useful comparison starts before selecting the lowest number. Ask each supplier to state which drawings and schedule revision they priced. If one proposal follows an earlier design or assumes fewer openings, the difference is not a saving on the same scope. Establish a common basis first, then evaluate the commercial terms.
Match the opening quantities and products
Check every opening identifier against the quote. Look for paired doors, sidelights, transoms and frames that may be counted separately or bundled into one line. Confirm the proposed materials, finishes and product series. If a proposal offers an alternative, ask for it to be identified clearly rather than mixed into the base specification.
Record unresolved selections and allowances in your comparison sheet. A provisional hardware allowance is different from a price for an approved hardware set. Ask when the allowance will be replaced by a firm selection and what information is needed to do that.
Compare hardware as a package
Ask whether the price includes hinges, locks, closers, exit hardware, seals, thresholds and other scheduled accessories. Identify who supplies and installs access-control devices and who handles wiring or commissioning when those systems are part of the project. A component supplied by another trade still needs a coordinated interface with the door and frame.
Keep project performance requirements attached to the relevant openings. Request supporting product information and a review of proposed substitutions through the project’s approval process. A broad description such as “commercial grade” does not by itself establish that the proposed package meets a particular specification.
Separate supply from site work
Clarify delivery, unloading, on-site storage, installation, demolition, disposal and finishing. Ask whether field measurement, shop drawings and factory preparation are included. For replacement work, identify who repairs the adjacent walls or trim and who completes final painting.
For an occupied building, describe the access restrictions and phasing plan to every bidder. Evening work, limited loading access and multiple mobilizations can affect a quote. Compare proposals using the same assumptions rather than expecting a supplier to infer the building’s operating rules.
Make timing and payment terms explicit
Ask what event starts the quoted lead time and which items have separate delivery schedules. Establish who approves shop drawings and how late changes will affect the order. A desired installation date should be checked against approval, production, transport and site-readiness milestones.
Review deposit and progress-payment terms alongside the cancellation and change provisions. Record how damaged, missing or incorrect items will be reported and resolved. These responsibilities are easier to agree before delivery than when installers are waiting for a replacement component.
Use a short comparison checklist
For each quote, record the schedule revision, number of openings, specified products, hardware inclusions, field-work scope, exclusions, allowances, delivery assumptions and payment terms. Ask follow-up questions in writing and attach the answers to the final accepted proposal. Avoid treating a verbal clarification as a substitute for an updated scope.
